Privacy Policy
What we collect when you visit, book or apply, why, who sees it, and how our advertising and cookies work.
Last updated: 20 October 2026
Sweeply Cleaning Ltd. (“Sweeply”, “we”, “us”), of 107-3993 Henning Dr, Burnaby, BC V5C 6P7, is responsible for the personal information described here. We handle it under British Columbia’s Personal Information Protection Act (PIPA), Canada’s PIPEDA, and Canada’s anti-spam law (CASL). This policy covers sweeply.ca, our emails, texts and calls, and the advertising we run on other platforms.
1. What we collect, and where it comes from
Things you give us
- Price and quote requests — your name, phone number, email address, postal code, the service you want and the size of your home, from the price form on the home page or the quote form.
- Bookings — the above plus your address, the type and size of the property, the date and arrival window, the frequency you choose, any notes, and the entry information below.
- Contact — whatever you put in the contact form, an email, a text or a phone call to us.
- Job applications — your name, email address, phone number, city, the position you want, your experience, languages, whether you drive, the cities you can work in, your availability, whether you are willing to undergo a background check, and anything you write about yourself.
- Newsletter — your email address.
- Reviews and feedback — what you tell us about a visit, and any photographs you send.
Payment information
Card payments are handled entirely by Stripe. We receive a payment token, the card brand and the last four digits; we never see or store your full card number. For a recurring schedule, Stripe may keep your card on file against a customer record for us, so each visit can be charged as it comes up.
Collected automatically when you use the site
- Your IP address, approximate location, device, browser and operating system.
- The pages you visit, how you move between them, how long you stay, and events such as starting or completing a booking.
- Where you came from — the search, ad, email, social post or website that brought you — including campaign tags and click identifiers (such as Google’s
gclidand Meta’sfbclid) attached to the link you clicked. - Cookies and similar identifiers set by us and by the analytics and advertising services in section 5.
From other people
- Someone who books on your behalf — a family member, a landlord or property manager, an employer — gives us your details and is responsible for having the right to.
- Advertising and analytics platforms report back to us in aggregate (how many people clicked, how many booked); they do not tell us who you are unless you then give us your details.
- Review platforms such as Google and Trustpilot show us the reviews you post there.
2. Entry information gets special treatment
Access codes and key locations are effectively the keys to your home, so they are encrypted at rest in our database, excluded from our application logs, never sent to any analytics or advertising service, and visible only to the cleaners assigned to your booking and the staff who schedule them. They are deleted when you tell us to, or when your relationship with us ends.
3. Why we use it
- To price, schedule and perform the service you booked, and to take payment for it.
- To contact you about a booking or an enquiry — confirmations, arrival texts, changes, invoices, a declined card.
- To run a recurring schedule: booking and charging each visit, and letting you skip or end it.
- To answer your questions and quote requests.
- To consider your job application.
- To send marketing email and texts, but only if you have consented, and every message carries a way to stop them (section 6).
- To measure how the site and our advertising are performing, and to improve them (section 5).
- To show our ads to people likely to want a cleaner, and to avoid showing them to people who have already booked (section 5).
- To detect fraud, abuse and automated misuse of the site, and to keep it secure.
- To meet our legal, tax and insurance obligations, and to deal with a claim.
We rely on your consent for all of this. For the service itself and the messages that go with it, your consent is the booking or the form you send; for marketing it is a separate, express yes; for analytics and advertising cookies it is implied by your continued use of the site after this notice, and section 5 tells you how to opt out.
4. Who we share it with
- Our cleaners and office team — the cleaners assigned to your booking see your name, address, phone number, notes and entry information, and nothing more than they need for the visit.
- Our scheduling system — bookings, plans, enquiries and applications are mirrored into the operations system we run the business from. It is ours; it is not a third party.
- Stripe — for payments, saved cards, refunds, invoices and sales tax.
- The providers that deliver our email, texts and calls, including a business number that may sit between you and your cleaner so neither sees the other’s personal number.
- Our hosting provider, which stores the site and its database.
- Advertising and analytics platforms — Google, Meta and the others named in section 5 — which receive the usage data described there and, where we build audiences, a hashed version of your email address or phone number that they match against their own users and then discard.
- Review platforms — if we invite you to review us on Google or Trustpilot, your name and email address go to that platform to send the invitation.
- Tools that help us build and run the site, including AI-assisted tools. Where such a tool handles personal information on our behalf it does so under our instructions and this policy.
- Our insurer, accountant and lawyers, where a claim, an audit or a dispute needs them.
- The law — where we are required to by a court, a regulator or legislation, or to protect someone’s safety or our legal rights.
- A buyer of the business, if Sweeply or substantially all of its assets are sold, in which case this policy continues to apply.
We do not sell your personal information, and we do not give it to anyone for their own marketing. The advertising platforms above use what they receive from us only to show and measure our ads, under contracts that say so.
5. Advertising, analytics and cookies
We advertise Sweeply through every channel that reaches people in Metro Vancouver — online and off — and we measure what works. This section explains what that means for your data.
Where we advertise
- Search — Google Ads and Microsoft Advertising (Bing).
- Social — Meta (Facebook and Instagram), TikTok, LinkedIn, Pinterest, Snapchat and X.
- Video and display — YouTube and the Google Display Network, including retargeting banners that follow a visit to our site across other websites and apps.
- Email and text — newsletters, offers and reminders to people who have consented (section 6).
- Referral and promo codes, review platforms (Google and Trustpilot), local directories and listings, partnerships with other local businesses, influencers and sponsored content, and affiliates.
- Offline — flyers, door hangers, direct mail, print, outdoor, radio and community sponsorship. These collect nothing; a promo code on them only tells us which campaign you came from.
What runs on this site
- Google Tag Manager loads our measurement tags from one container, so that we can add or remove a tag without changing the site.
- Google Analytics measures which pages are visited, how visitors move through the site, and how many of them book, using cookies such as
_ga. - Google Ads conversion tracking and remarketing tells Google when a click on one of our ads led to an enquiry or a booking, and lets us show follow-up ads to people who visited but did not book.
- The Meta Pixel (Facebook and Instagram) counts page views and conversions and builds remarketing audiences, using cookies such as
_fbp. We may also send the same events to Meta from our server (the Conversions API) so that a browser that blocks the pixel is still counted once. - Other platforms’ tags may be loaded through the same container when we run campaigns with them: Microsoft Advertising, TikTok, LinkedIn, Pinterest, Snapchat and X each have a pixel that works the same way, and we may use a session-recording or heat-map tool such as Microsoft Clarity to see how pages are used.
- Our own session cookie keeps a booking you have started but not finished, keeps our forms secure, and remembers small things such as whether you have dismissed a notice. It is strictly necessary and sets nothing about you.
What those tags receive — and what they never receive
- They receive the pages you view, the events you trigger (a price request, a booking started, a booking paid and its value), your approximate location and device, the click identifier from the ad you came through, and a cookie that recognises your browser.
- Where we use a platform’s “advanced matching” or “enhanced conversions”, they also receive a hashed (irreversibly scrambled) version of the email address or phone number you typed, so the platform can match a booking to the ad you saw without us sending your details in the clear.
- They never receive your name, your address, your notes, your entry information or your card details, and we do not tag anything in the booking form that would identify you to them.
Audiences
We may give an advertising platform a hashed list of the email addresses or phone numbers of people who have enquired or booked, so that it can show them our ads (a “customer match” or “custom audience”), find people with similar interests (a “lookalike” audience), or — more often — stop showing our ads to people who are already customers. The platform matches the hashes against its own users and does not learn anything about you that it did not already know.
Your choices
- Block or clear cookies in your browser. The site and the booking form keep working; only the session cookie is needed.
- Google — manage personalised ads at adssettings.google.com, install the Google Analytics opt-out add-on, and read Google’s advertising policy and privacy policy.
- Meta — manage ad preferences at facebook.com/ads/preferences, and read Meta’s privacy policy.
- Microsoft, TikTok, LinkedIn, Pinterest, Snapchat and X each offer an ad-preferences page in your account settings.
- Across many platforms at once — the Digital Advertising Alliance of Canada at youradchoices.ca and the Network Advertising Initiative at optout.networkadvertising.org let you opt out of interest-based advertising from their members.
- Ask us to remove you from any audience list we have built, and we will.
Opting out of interest-based advertising does not mean you will see no ads from us; it means they will not be tailored to you. The cookies and tags above are non-sensitive, which is why Canadian privacy law lets us rely on the notice you are reading and the opt-outs above rather than a pop-up. We do not target advertising at children, and we do not use health, financial or other sensitive information for advertising.
6. Email and text messages
- Service messages — confirmations, arrival texts, reminders, invoices, a changed or declined visit, a reply to your enquiry — are sent because you booked or asked, and continue for as long as you are a customer.
- Marketing messages — newsletters, offers, seasonal reminders — are sent only after you have expressly opted in, for example by ticking a box or subscribing in the footer. We record when and how you consented.
- Stopping them — every marketing email has an unsubscribe link, and you can reply STOP to any text. We act on it within ten business days, usually at once. Service messages about an active booking continue, because you need them.
- Standard message and data rates from your carrier may apply to texts.
7. What we show on the site
The site may show a small notice that someone recently booked — a first name and a city, nothing more — to let visitors know the service is in use. If you would rather your booking never appeared that way, tell us and it will not.
8. How long we keep it
- Bookings, plans and invoices — seven years after the last visit, as Canadian tax law requires.
- Entry information — until you tell us to delete it, or your relationship with us ends, whichever is sooner.
- Enquiries and price requests that did not become a booking — up to two years, then deleted.
- Job applications — twelve months, unless you join us, in which case they become part of your employment record.
- Marketing contacts — until you unsubscribe, after which we keep only the fact that you did, so we do not contact you again.
- Analytics and advertising data — held by each platform for the period its own policy sets; we set Google Analytics to the shortest retention it offers.
9. Where it is stored
Our own records are held by our hosting provider, and the services in section 4 — Stripe, Google, Meta and the rest — run on their own infrastructure. Your personal information may therefore be stored or processed outside Canada, including in the United States and the European Union, where it is subject to the laws of those places and may be accessible to their authorities. We choose providers that commit contractually to protecting it.
10. Your rights
- You can ask us for a copy of the personal information we hold about you, ask us to correct it, ask us how we have used it and who we have shared it with, or ask us to delete it where we are not legally required to keep it.
- You can withdraw a consent you have given — for marketing, for an audience list, for the recent-bookings notice — at any time, and we will stop from then on.
- Email clean@sweeply.ca and we will respond within 30 days. We may need to confirm it is really you before we release anything.
The site is for adults. We do not knowingly collect personal information from anyone under 18, and we delete it if we learn we have.
11. Security
The site runs over HTTPS, entry information is encrypted at rest, access to customer data is limited to staff who need it, card data never reaches our servers, and the forms are rate-limited and guarded against automated abuse. No system is perfectly secure; if we learn of a breach that creates a real risk of significant harm to you, we will tell you and the Privacy Commissioner as the law requires.
12. Changes to this policy
We may update this policy as our services and advertising change, and the date at the top shows when we last did. A material change in how we use information you have already given us will be explained to you by email, and where the law requires it we will ask for your consent again.
13. Questions and complaints
Our privacy contact is clean@sweeply.ca, or write to us at the address at the top of this page. If you are unhappy with how we have handled your information, contact us first. You can also complain to the Office of the Information and Privacy Commissioner for British Columbia or the Office of the Privacy Commissioner of Canada.
